This is a starting point, not a universal rule. Some enterprise clients have fixed accounts-payable cycles; some consultant agreements use milestone payments; and some situations should move to a call much earlier.
Pause the schedule when the client responds
A payment date is promised
Pause future reminders through that date, then review before deciding whether to resume.
The invoice is disputed
Stop automation and resolve the disputed facts or deliverables directly.
Payment is partial
Confirm the remaining balance and revised agreement before scheduling another message.
The contact is wrong
Correct the recipient and confirm responsibility rather than forwarding the same sequence blindly.
Choose a predictable send time
Use the recipient’s normal business hours and avoid sending routine reminders on weekends or holidays unless the relationship calls for it. Consistency matters more than finding a supposedly perfect minute. The message should feel like normal business administration, not an artificial urgency tactic.
Match the wording to the stage
- Before due: state the upcoming date and make the invoice easy to find.
- Just overdue: say it still appears outstanding and ask whether payment is in progress.
- One week overdue: reference prior contact and request a specific payment update.
- Later follow-up: be clear about the needed response and follow only consequences already supported by your agreement and professional advice.
